Privacy Policy

Zero-Mail is self-hosted software for automated Gmail triage. It runs on a server the owner controls. This policy explains what it accesses, where that data lives, and who — if anyone — it is shared with.

Who operates Zero-Mail

“Zero-Mail” is a personal, self-hosted application, not a hosted commercial service. It is run privately by its owner on their own infrastructure. There is no company account, no shared server, and no third-party operator sitting between you and your mailbox. For any question about this policy, contact gozero@zeromail.fyi.

What Zero-Mail accesses

With your explicit Google authorization, Zero-Mail accesses your Gmail in order to triage it. Specifically, it:

Reads messages that have arrived since its last run, to classify them.
Applies labels and archives messages — moving mail out of, or keeping it in, your inbox based on that classification.
Reads your email address to know which mailbox it is acting on and where to send the Brief.

It does not read your entire mail history retroactively, and it does not act on anything outside the scope you grant.

Where your data is stored

Zero-Mail stores its data locally, on the owner’s own server — in a database on that machine. This includes:

The OAuth tokens Google issues so Zero-Mail can access your mailbox on your behalf.
Triage metadata — sender, subject, the category assigned, and whether a message was kept or archived — used to build your Brief and remember your corrections.

This data is not uploaded to any service operated by the developer, because no such service exists. It stays on the machine you (or the owner) host it on.

The one third party: AI classification

To decide what each message is, Zero-Mail sends the message’s text to Anthropic’s API, which returns a classification. This is the only external party that email content is sent to, and only for the moment it takes to classify a message. Anthropic’s handling of that data is governed by Anthropic’s privacy policy.

No selling, sharing, or training. Zero-Mail does not sell your data, does not share it with advertisers or data brokers, and does not use your mail to train any model of its own. The only transmission of email content is the classification call to Anthropic described above.

Google user data & Limited Use

Zero-Mail’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. Google user data is used solely to provide and improve the mail-triage feature you authorized, and is never used for advertising or sold to third parties.

Retention & your control

Revoke any time. You can withdraw Zero-Mail’s access from your Google Account permissions page. Once revoked, its tokens stop working immediately.
Deletion. Because the data lives on the owner’s server, deleting the application’s database removes the stored tokens and triage metadata. Contact the owner to request deletion.

Changes to this policy

If this policy changes, the “last updated” date above will change with it. Because Zero-Mail is personal software with a single operator, changes are communicated directly rather than through a broad notice.
